SpatialFlow for Field Workers

This guide covers the SpatialFlow mobile app: installing it, joining your team, and running a shift. If your manager set up SpatialFlow, this is everything you need on your phone.

What you need
  • A phone (iOS or Android)
  • The invitation email or QR code from your manager
  • A few minutes to grant location permission

Install the app

  • iPhone: search the App Store for SpatialFlow (subtitle "Field Tracking & Geofencing").
  • Android: search Google Play for SpatialFlow: GPS Fleet Tracker.

If you tap an invite link or scan a QR code before installing, your phone will send you to the right store automatically.

Accept your invitation

Open the email from your manager and tap the link, or open your camera app and scan the QR code they gave you. Either way, the app opens to a screen showing your workspace name and the role you were invited as.

What happens next depends on whether you already have a SpatialFlow account with that email:

  • New to SpatialFlow — set a password, or tap Sign in with Google to skip the password entirely.
  • Already have an account — enter your existing password, or sign in with whichever provider you used before (Google or Apple).

If the invite has already been used, revoked, or has expired, you'll see a message saying so instead of the sign-in form — see Troubleshooting below.

Sign in

Once your account exists, sign in with your email and password, or with Sign in with Google / Sign in with Apple if that's how your account was set up. Your company may also offer Sign in with SSO.

Allow location access

The app will ask for location permission twice:

  1. A first prompt to allow location at all.
  2. On iPhone, a second prompt to upgrade to Always — SpatialFlow needs this to keep tracking while the app is in the background or your screen is off. If you pick "While Using", tracking stops as soon as you leave the app.

On Android, right after your first shift starts, you may see a prompt titled Keep tracking running, asking to exempt SpatialFlow from battery optimization. Tap Allow — otherwise Android may pause tracking to save power partway through your shift. If you miss this prompt, it only appears once automatically; find it again under Settings > Background tracking.

Start, pause, and end your shift

Open the Tracking tab. Three states:

  • Off — tap Start Tracking to begin sharing your location.
  • Tracking on — you're live. Tap Pause to stop sharing temporarily without ending your shift (useful for a break), or Stop Tracking to end it.
  • Paused — tap Resume to continue, or Stop Tracking to end the shift from here too.

Stop Tracking is the destructive action (shown in orange) — the app asks you to confirm before it stops sharing your location.

"Last upload" and sync problems

While tracking is on, a small pill stays visible showing Tracking on and, under it, Last upload: a few seconds ago (or however long since your phone last successfully sent a location fix). That number should stay small and keep resetting. If it starts climbing into minutes, your phone isn't getting a fix out — usually a signal or connectivity problem that clears on its own once you're back in range.

If it doesn't clear, go to Settings > Sync Queue. This screen lists any location fixes that failed to upload and are waiting to retry, with a count next to "Sync Queue" in Settings when there are any. Tap Retry on one entry, or Retry all when there are several. An empty list means everything has synced.

History also shows a small sync pill next to each session. It turns red and reads "Failed" when an upload has failed, and tapping it takes you straight to Settings, where you can open the Sync Queue.

Switching workspaces

If your email is on more than one SpatialFlow workspace (say, two employers), log out and back in. SpatialFlow will show Choose where you are working so you can pick which workspace this shift belongs to. There's no need to reinstall or use a different account — one login, one workspace at a time.

Privacy

SpatialFlow only tracks your location while a shift is active. The login screen says it plainly: "We only track your location when tracking is on." Ending or pausing your shift stops location sharing; SpatialFlow is not watching you the rest of the day.

Troubleshooting

Location fixes aren't uploading. Check Settings > Sync Queue for failed entries and retry them. If the queue stays empty but "Last upload" keeps growing, check you still have a data connection and that location permission is still set to Always (Settings app on iOS, or the SpatialFlow app's permission page on Android — sometimes an OS update quietly resets this).

You're in the wrong workspace. Log out and back in; if your account belongs to more than one workspace, you'll get the workspace picker again and can choose the right one.

Your invite link says it's already used. Your account exists. Use Sign In with that email instead of the old link.

Your invite link says it's expired or revoked. Ask your manager to create a new invitation. Resend only works while an invitation is still pending, so the old one cannot be revived.
